1. Introduction
Denial Operations (“we,” “us,” or “our”) respects your privacy. This notice explains how we collect, use, share, and retain information when you visit our website or submit a request for a product demonstration.
2. Information We Collect
When you submit a demo request, we may collect your name, work email address, organization, role, organization type, and any message you choose to provide. Some fields are optional.
Our website and service providers may also process limited technical information needed to operate, protect, and troubleshoot the website and submission service, as described in their own policies.
Please do not include patient information, protected health information (PHI), or other sensitive personal information in your submission.
3. How We Use Your Information
We use demo-request information to respond to your inquiry, communicate with you about Denial Operations, coordinate requested demonstrations, and manage relevant follow-up. We do not intend to use this information for unrelated purposes.
4. Third-Party Service Providers
We use Web3Forms, operated by Web3Creative, to process demo-request submissions and forward them to our business email address, [email protected]. Web3Forms acts as a service provider for form processing and may process submission information through its infrastructure and subprocessors as described in its policies and data-processing terms.
We have configured the Web3Forms submission archive to use a seven-day retention period. Web3Forms confirmed that submissions older than seven days will be permanently deleted going forward; existing submissions are not affected by this setting change. This applies to the provider’s submission archive and should not be understood as a guarantee that all submission-related technical records, logs, backups, or copies delivered to our email account are deleted on the same schedule. The setting and retention practices remain subject to the provider’s current service and policies.
Review the provider’s Privacy Policy and Terms for details about its processing and retention practices.
Third-party policies, retention practices, features, and service-plan limits may change.* Our description of those practices reflects our understanding at the time of publication and may need to be updated as providers change their services or policies.
*The stated retention period is subject to the provider’s current policies and the retention setting configured for our form. It is not a guarantee that all submission-related technical records are deleted on the same schedule.
We also use an email service to receive and manage demo-request notifications. Information retained in our email account is subject to our own handling practices and the email provider’s applicable policies.
5. Data Retention
We retain demo-request information in our business email account for as long as reasonably necessary to respond to your inquiry and complete relevant follow-up. When follow-up is complete, we review the information for deletion when it is no longer needed, subject to applicable legal or legitimate business-record requirements.
Our email retention is managed separately from Web3Forms’ retention. Deleting an email from our mailbox does not necessarily delete copies or records held by a service provider, and the expiration of a dashboard history period should not be assumed to delete all provider-held data.
6. Sharing of Information
We do not sell demo-request information. We share it with service providers where reasonably necessary to operate the website, process submissions, deliver email, and respond to your request. We may also disclose information when required by law or when reasonably necessary to protect our rights, users, or services.
7. Security
We take reasonable steps to handle demo-request information appropriately. However, no website, transmission method, or electronic storage system can be guaranteed to be completely secure. Please do not submit patient information, PHI, credentials, financial account details, or other sensitive information through the demo-request form.
8. Your Privacy Requests
You may contact us to ask about information you have submitted or to request access, correction, or deletion, subject to applicable law and legitimate retention requirements. Contact us at [email protected]. We will review and respond to requests as appropriate.
9. Changes to This Notice
We may update this notice as our website, services, data-handling practices, or third-party providers change. The latest version will be published on this page with its updated date. Please review it periodically.
